Gear charge
Replacement value × the rental-length percentage. $25,000 of gear for one day at 5% is $1,250.
Labor charge
Crew cost ÷ (1 − margin). Two techs at $650 is $1,300 of cost; at a 35% margin you charge $2,000 and keep $700.

Quote calculator questions
How do I price an AV rental quote?
Start with the gear: a day rate is often figured as a percentage of the equipment’s replacement value. Add crew labor priced at the margin you need, then add freight, sub-rentals, and tax. This calculator handles the first two so you have a starting number.
What’s the difference between labor margin and markup?
Margin is the share of the price you keep. Markup is what you add on top of cost. A 35% margin on $1,000 of crew cost means charging about $1,538. A 35% markup would only be $1,350. This calculator uses margin.
Are the day-rate percentages standard?
They’re common rules of thumb, not an industry rate card. Plenty of shops charge more for specialist gear and less for long runs. Swap in your own numbers.
