Jobs & scheduling

Every event on one job, every job on one calendar

GigLogix is event scheduling software for AV rental shops, production companies, and venues. Each job holds the dates, venue, gear, and crew, and the calendar shows what’s held, quoted, and confirmed.

What it does

AV job scheduling, in one place

The job is the center of GigLogix. Quotes, pack lists, crew, and invoices all hang off it, so you only enter an event once.

  • One job per event

Client, venue, event dates, load-in and load-out, gear, crew, notes, and documents all live on the job. Nobody has to hunt through email.

  • Status at a glance

Every job moves through Lead, Hold or Quoted, Confirmed, In progress, Completed, and Invoiced, so you can see what needs a nudge.

  • A calendar everyone reads

See every job by date. Each user can also subscribe to a private ICS calendar feed in Google Calendar or Outlook. The link expires after 90 days, and you can make a new one.

  • Conflict warnings

When gear, parts of a kit, or crew are already booked on overlapping dates, GigLogix flags it on the job so you can decide what to do.

  • Quotes move the job along

Build the quote from the job. Creating it marks the job Quoted, and when the client approves online, the job is Confirmed.

How it works

From first call to invoice

Four steps take a job from a phone call to a bill.

  1. 01

    Add the job

Pick the client and venue, then set the event dates and load-in and load-out times.

  2. 02

    Add gear and crew

Pull equipment from inventory and book crew by role. Anything already booked on those dates gets flagged.

  3. 03

    Quote and confirm

Send the quote as a link. The job shows Quoted, then Confirmed once your client approves it.

  4. 04

    Run it and bill it

Pack the gear, send the crew, and turn the quote into an invoice when the event wraps.

FAQ

Scheduling questions

How many jobs can I schedule?

Starter covers 100 new jobs in any 30 days, Professional covers 500, and Venue is unlimited. The 14-day trial allows 25. The limit counts jobs created in the last 30 days, not every job you have ever booked.

Does it sync with Google Calendar or Outlook?

Each user gets a private ICS calendar feed they can subscribe to in Google Calendar, Outlook, or Apple Calendar. The feed link expires after 90 days, and you can generate a new one. It is one-way: changes in GigLogix show up on your calendar, but edits made in Google or Outlook do not come back.

Will it stop me from double-booking?

It warns you rather than blocking you. If a job needs gear, kit parts, or crew that are already booked on overlapping dates, GigLogix flags the conflict. Sometimes you mean to overbook and sub-rent, so the call stays yours.

Can I bring in my existing clients and venues?

Yes. Import clients, equipment, and venues from CSV or Excel, or use the one-way Rentman import. Jobs are created in GigLogix.

Can my clients see where their job stands?

Yes. The client portal lets clients sign in with a magic link and see their jobs, quotes, invoices, documents, and messages. They do not need a password.
